Navigating and managing your job out in the field.

 

 

LOCATING A FILE

Once clocked into a file managing the job in the field is easy. You can enter into a file through the dashboard either from the scheduled files or through My Master Jobs.

You can also search files under all open files.

Alternatively, you can access files through the my schedule view

CUSTOMER CONTACT

A customer can be contacted directly from the Xcelerate all by clicking on the phone Icon on the My schedule view or within the file.

This will allow you to Call, Text or Email directly from the Xcelerate app.

Emails and Texts will also automatically Log interactions as a note within the file.  

NAVIGATION

Xcelerate will navigate you directly to the site utilizing the map button.

Note: Please ensure your location is enabled for the Xcelerate App. Arriving onsite may trigger task completion by correctly categorizing time tracking from travel to onsite time for more accurate financial records.  

TASKS & STANDARD OPERATING PROCEDURES

Tasks are set up for your organization and create a checklist to follow in the field. Many of the tasks are automated and will be marked completed automatically. For example, arriving onsite, taking pictures and getting documents signed may complete these tasks. Check with your administrator at your company or Xcelerate Support for more information on how these are set up or on getting them started.

Tasks can be viewed from the dashboard to see all open tasks that need to be completed for all files or within the file itself:

Once you identify the task that is next in the sequence, follow the instructions to mark as complete. Keep in mind some must be manually completed, and some will complete automatically.

PHOTOS

Photos can be uploaded directly from your device or taken within the Xcelerate App.  

Existing photos can also be viewed from your Xcelerate album or an external album such as Encircle.

As a best practice ensure you are adding photos to albums and adding tags for easy navigation later on.

FORMS

Forms can range from Daily Check Lists to document your visit to Work Authorizations and Certificates of Completion to collect electronic signatures.

Select Forms then the category of the form you are looking for.

Select your form and then tap send Email or Complete form:

Once selected complete the form as indicated. Some forms will pre-populate information from the Mater Job. Review the form and fill out any areas that may be blank. Visit forms may ask a series of questions to help document the job and provide the next steps. Contractual forms will allow you to gather electronic signatures as well.

DOCUMENTS

Once your form has been completed be sure to click submit and these will then appear within the document section of the file. These are available immediately to anyone with access to the file. Estimates would also appear in this section.

NOTES

Once all paperwork, tasks, and work have been completed on a job site, final notes regarding the job or lists of supplies needed can be documented in the notes section.

As the job is worked automatic notes have been added to the file such as file completion and arrivals onsite.

PLEASE NOTE: All notes are permanent additions to a file, so punctuality and professionalism are very important.

 New notes can be added to the file with the green plus sign in the top right corner. 

PRO TIP: Use voice-to-text on your phone's keyboard to quickly add notes before you leave the site.
